Role purpose
The IELTS Administrative Officer is responsible for ensuring the efficient, accurate, and secure delivery of IELTS testing operations in compliance with IELTS policies, procedures, and quality standards. The role supports the end-to-end administration of IELTS examinations, including candidate registration, test-day operations, results processing, and customer support. Working collaboratively with internal teams, invigilators, examiners, and external stakeholders, the position ensures a high standard of service while maintaining test integrity, confidentiality, and operational excellence. The IELTS Administration Officer also contributes to continuous process improvement by ensuring timely, accurate, and compliant execution of all administrative and operational activities.
Key accountabilities
- Administer end-to-end IELTS testing operations, including registration, test-day activities, post-test processing, and Test Report Form (TRF) production, ensuring accuracy, quality, and compliance with IELTS policies and procedures.
- Maintain the highest standards of test security, confidentiality, and integrity by implementing IELTS regulations and safeguarding candidate information throughout the testing process.
- Provide timely, professional, and customer-focused support to candidates, agents, examiners, and other stakeholders by responding to inquiries, verifying documentation, issuing test-related information, and facilitating test confirmations.
- Coordinate and support IELTS invigilators, examiners, and test-day operations to ensure the smooth and successful delivery of examinations and related events.
- Utilize IELTS systems (IWAS) and Microsoft Office applications to manage candidate data, maintain records, prepare documentation, and ensure accurate reporting.
- Collaborate with internal teams to maintain up-to-date test schedules, policies, agent information, and communication materials across relevant platforms.
- Resolve operational issues and candidate concerns within established company and IELTS policies, exercising sound judgment, professionalism, and problem-solving skills.
- Support administrative, finance, and data management activities as required while effectively prioritizing multiple tasks and meeting operational deadlines.
- Communicate effectively with internal and external stakeholders in both written and spoken English, fostering positive working relationships and delivering high-quality service.
- Plan, organize, and manage workload efficiently to ensure the timely completion of responsibilities while contributing to continuous operational excellence and team objectives.

- Interest in / experience of international education and / or testing services.
Desirable requirements (skills, knowledge, experience & qualifications):
1. Bachelors’ degree or equivalent
2. Must be willing to travel extensively and at short notice
