Role purpose

We are looking for a seasoned and highly organised IELTS Coordinator to play a pivotal role in supporting the operational success of our IELTS programmes. In this integral role, you will oversee the meticulous coordination of meetings, manage comprehensive documentation and follow-ups, and facilitate effective communication between internal teams and our IELTS partners globally.

This 12-month fixed-term position is based in Melbourne, within our Central Operations team, offering the opportunity to engage with multiple stakeholders and contribute significantly to one of IDP's most influential business areas.

You will be instrumental in ensuring seamless operational flow, acting as the core facilitator of administrative processes and communication channels that support the delivery and continuous improvement of IELTS services.

Key aspects of the role

  • Efficiently organise and coordinate meeting logistics including agenda preparation, minute taking, and monitoring follow-up actions to ensure effective outcomes.
  • Maintain rigorous tracking of project progress, identify and document risks, and analyse dependencies to support proactive risk management.
  • Serve as the primary coordination hub between internal stakeholders and IELTS partners, facilitating smooth and timely information exchange across diverse teams and regions.
  • Oversee the management and updating of shared documents, reporting materials, and administrative workflows to enhance transparency and operational efficiency.
  • Contribute to continuous process improvements by identifying bottlenecks and suggesting actionable initiatives within the operations framework.
  • Assist in the preparation of regular performance reports and documentation to support decision-making and strategic planning.

What you bring

  • Proven experience in coordination or administrative roles, demonstrating strong organisational and multitasking abilities.
  • Excellent written communication skills, with a focus on clarity, accuracy, and professionalism, including proficiency in minute-taking.
  • Capability to effectively manage and balance competing priorities and expectations from a broad range of stakeholders.
  • A keen eye for detail coupled with a proactive approach to identifying and addressing challenges before they arise.
  • Flexibility and readiness to participate in after-hours calls (approximately 1–2 days per week) to accommodate the time zones of international partners.
  • Ability to work collaboratively within a fast-paced team environment, demonstrating adaptability and resilience.
