Role purpose
Working directly with Language Testing Portfolio and Product teams, you will ensure the administrative functions of the program and governance obligations are being met – maintaining the effective execution of our program delivery processes. You will be working closely with stakeholders, delivery/governance teams, product managers, senior stakeholders and delivery teams to facilitate and enable successful program delivery.
As a Senior Program Coordinator, you will be responsible for co-ordinating key program artifacts, ceremonies and events including Program Increment planning, Steering committee, maintaining portfolio registers, benefits tracking, organising workshops and meetings, taking minutes throughout delivery of various Language Testing initiatives within the program.
Working out of our Melbourne Quarters office amidst our collaborative team you will work with product and digital teams in Melbourne, London and Chennai and be responsible for the day-to-day coordination across the program.
We are looking for someone who is proactive, methodical, structured yet flexible in adjusting methodologies to the context of the program, understands technology, communicates well and has proven delivery over a wide range of projects and project management disciplines.
You should be able to coordinate and engage with a wide variety of stakeholders, ensuring they remain informed and engaged to ensure the delivery of IDP program’s digital lifecycle within quality, time and budget requirements whilst ensuring a focus on the customer and best practice ways of working.
Program Coordination
End to end best practice program coordination
Work with Portfolio Manager to develop, drive, and implement program goals
Manage communications and deliverables from all stakeholders for the program
Program Administration including cadence, comms, budgets, schedules etc
Document Control and preparation and provision of program tracking reports
Support program team to achieve key initiative timelines
Minutes and actions follow up as assigned from program and product meetings
Collaboration and Performance Tracking
This is a global role and needs global collaboration to deliver, including:
Collaboration with delivery teams globally
Attending PM communities of best practice
Working closely with product managers/owners and other coordinators to ensure integration points and dependencies.
Ensuring program communication and reporting is clear to all whilst being light on time
Assist in the co-ordination of PI planning process
Roadmap and tracking innovation performance by:
Ensuring Program initiatives funding, resourcing and planning is signed off.
Progress reporting on initiatives, identifying issues and escalating where appropriate.
Continually looking to how we can improve upon what we do for our customers and how we can improve business agility and performance
Tracking program delivery performance to time, scope, budget and outcome
Utilising PM tools such as gantt, roadmaps, Kanban where such tools are fit for purpose in the context of the individual initiative and program
Required experience
Previous PMO or program co-ordinator / administrator experience
Hands on, self-managed, proactive and innovative
Methodical, structured, with a dedicated eye for detail
Multi-tasker with ability to juggle many activities and communications
Demonstrated experience effectively coordinating programs of work and working with several stakeholders
Ability to track and manage program finances at a detailed level (capex, opex, etc)
Advanced communication skills to engage a wide range of stakeholders including C Level
Cross cultural awareness and sensitivity, respecting diversity
Desirable Requirements
