Role purpose

The Migration Assistant will support the Migration Visa Consultant in preparing documents for visa applications, assistance in applying for recognition from external bodies, submitting applications for Professional Year (PY) courses and assisting with OVHC applications. They will also assist with booking appointments, calling potential students for lead engagement and updating details of the student in the company’s CRM system.

Key accountabilities

Administrative Duties

  • Handle phone inquiries and triage new cases
  • Manage appointments and calendars in Outlook
  • Provide general office and client support via phone and email.
  • Update client records in the CRM as per business needs.
  • Keep clients informed on application progress
  • Verify required documents for visa applications.
  • Address and resolve client issues or complaints.
  • Prepare contracts, invoices, and receipts.

Application Assistance

  • Support migration agents with visa applications, tribunals, skills assessments, EOIs, and documentation
  • Maintain accurate records in databases and migration systems
  • Track application timelines and follow up on outstanding requirements
  • Ensure the Migration Agent reviews all applications before submission
  • Ensure compliance with regulations and provide administrative support.

Financial Responsibilities

  • Coordinate invoices, receipts, refunds, and payment queries with the Front Desk.

  •  Adhere to IDP policies, processes, and the Code of Conduct.

Teamwork & Collaboration

  • Assist Migration Agents with client inquiries and scheduling.
  • Foster strong relationships with Education Counsellors, Migration Agents, support staff, and marketing teams.

Required experience

Mandatory Requirements

  • Bachelor’s degree
  • Experience in Australian visa processes
  • Achievement-oriented with a strong drive for success
  • Customer service-focused, demonstrating a commitment to client satisfaction
  • Strong teamwork abilities, collaborating effectively with colleagues and stakeholders
  • Excellent problem-solving and negotiation skills to address complex issues
  • Proficiency in English with strong written and verbal communication skills
  • High attention to detail, with strong data entry and administrative capabilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and internet research skills.

Desirable Requirements:

  • Experience in the international education sector.
