Role purpose

As a Deputy Test Centre Administrator within IDP’s IELTS Operations team, you will play a pivotal role in supporting the efficient and smooth delivery of IELTS testing services at our Intake Kenya centre in Nairobi. This role is critical to upholding the high standards of test administration, ensuring compliance with regulatory requirements, and delivering an outstanding candidate experience.

You will assist the Test Centre Administrator in overseeing the day-to-day operations of the test centre, liaising with candidates, staff, and external stakeholders to facilitate seamless test sessions. Your organisational skills and attention to detail will help maintain accurate records and ensure that testing materials and equipment are properly managed.

Key accountabilities

  • Support the Test Centre Administrator in managing daily test centre activities to ensure efficient and accurate IELTS test delivery.
  • Coordinate candidate registration, attendance tracking, and communication to provide clear and timely information about the test process and requirements.
  • Ensure compliance with IDP, IELTS, and local regulations and policies, maintaining the integrity and security of test materials and centre operations.
  • Assist in the preparation, setup, and management of examination rooms and equipment to guarantee a professional and secure testing environment.
  • Maintain detailed and accurate records of test sessions, candidate performances, and centre operations for reporting and audit purposes.
  • Facilitate effective communication between candidates, examiners, and IDP headquarters to address queries and resolve issues promptly.
  • Participate in training programs and continuous improvement initiatives aimed at enhancing operational efficiency and candidate satisfaction.
  • Contribute to fostering a welcoming and inclusive atmosphere at the test centre, aligning with IDP’s values of diversity and customer focus.

Required experience

  • 3-5 years proven experience in an administrative or operational role, preferably within education, testing services, or customer service environments.
  • Relevant educational qualifications in administration, business, or related fields.
  • Strong organisational skills with the ability to manage multiple tasks effectively and maintain attention to detail under pressure.
  • Excellent communication skills, both written and verbal, enabling clear and professional interactions with diverse stakeholders including candidates, staff, and external partners.
  • A good understanding of IELTS test procedures and policies is highly advantageous, alongside a commitment to uphold examination security and confidentiality standards.
  • Proficiency in computer applications including Microsoft Office suite and experience with database management systems.
  • Ability to work collaboratively within a multicultural team, demonstrating adaptability, empathy, and cultural sensitivity.
  • Problem-solving aptitude with a proactive and flexible approach to operational challenges.
