Role purpose
The IELTS Admin Assistant plays a vital role within IDP's IELTS Administration team, supporting the efficient coordination and delivery of IELTS testing services in the Eldoret region. This position is based at the virtual office and is essential in providing seamless administrative support to both test takers and stakeholders.
This role requires a detail-oriented, proactive individual who will assist with scheduling, data entry, correspondence, and logistical organisation related to IELTS testing sessions. By ensuring accuracy and responsiveness in administrative processes, the Assistant contributes significantly to maintaining high standards of service excellence and operational reliability.

Key accountabilities
- Coordinate and manage IELTS test bookings, including registration, rescheduling, and cancellations, while maintaining meticulous records and data accuracy.
- Serve as a primary point of contact for candidates, responding promptly and professionally to inquiries via phone, email, and online platforms.
- Assist in the preparation and distribution of test materials and documentation to ensure compliance with IELTS standards and policies.
- Collaborate with internal teams and external partners to support the logistics of test day operations, ensuring smooth and efficient delivery.
- Maintain the IELTS database by entering and updating candidate information and test results confidentially and securely.
- Provide administrative support in the preparation of reports, schedules, and briefings to support IELTS management and stakeholders.
- Contribute to continuous improvement initiatives by providing feedback on administrative processes and suggesting efficiency enhancements.
- Ensure compliance with all relevant regulatory requirements, data protection guidelines, and organisational policies.
Required experience
- Proven experience in an administrative role, preferably within the education, testing, or customer service sectors.
- Strong organisational skills with the ability to manage multiple tasks accurately under tight deadlines.
- Excellent communication skills, both written and verbal, capable of engaging effectively with diverse stakeholders.
- Proficiency in using computer applications and databases, including Microsoft Office Suite and data management systems.
- Demonstrated attention to detail and commitment to maintaining confidentiality in handling sensitive information.
- Ability to work collaboratively within a team environment and independently when required.
- A positive, customer-focused attitude with a dedication to delivering high-quality service standards.
- Familiarity with IELTS testing procedures or international education services is an advantage but not essential.
- A willingness to learn and adapt to evolving digital platforms and administrative technologies.
