Role purpose
The Regional People Experience Assistant Manager - SEA, is responsible for supporting all people-related matters and day-to-day implementation of People Experience initiatives and policies at an operational level in order to achieve high performance and high engagement organisation.
The role will be working closely with the Regional People Experience Director (RPXD) and the People Experience (PX) teams in both Country and Global offices, to develop and deliver work programs and initiatives aiming to provide our people with the best employment experience.
Key accountabilities
Compensation & Benefits
- Lead and facilitate the annual performance remuneration and bonus review process by working closely with multiple stakeholders including Regional PX Director, Country PX, Regional and Country Leadership teams and Global HQ through effective collaboration
- Oversee payroll data preparation, and coordinate with the Finance department to ensure pay is made to the employees correctly and on time
- Manage the administration and monitoring of benefits programs such as provident fund, life, medical, dental insurance, pension plans, and leave entitlements, etc.
- Ensure PX and C&B documents and processes that are accessible by employees are updated and correct, e.g. employee handbook, insurance handbook and any other benefits related claim or application processes etc.
- Collaborate with Finance department in checking information and liaising with relevant authorities for Social Security and tax purposes
People Systems, Data Integrity and Reporting
- Accountable for accuracy and up-to-date data of people information in SuccessFactors (SF) for SG office and other SEA countries.
- Perform quarterly checks and validate data entries, for consistent monitoring and updates.
- Collaborate with the RPXD and SF team in designing, testing and implementing new modules in SF
- Effectively identify opportunities to digitise people process administration to increase effectiveness and enhance employment experience
- Leverage reporting and data analytics to derive insights. Provide actionable recommendations to business leaders based on data analysis for informed decision making.
Policy and Compliance
- Oversee the administration of Visa and work permit related matters such as application, renewal, cancellation, appealing and updating to relevant governmental agencies.
- Ensure all policy and procedures, HR Manual and employee handbook are up to date.
- Provide guidance on local employment legislation as and when requested by the CLT and employee.
- Provide compliance updates and reporting to HQ on a regular basis via the global compliance portal.
Employee Relations
- Manage employee complaints and grievance procedures and facilitate counselling in conjunction with other stakeholders.
- Proactively prevent/deal with disputes through mediation.
- Promote the relationship between the organisation employment/ governmental bodies to ensure compliance and fair employment practices.
People Experience Operations and Administration
- Collaborate and support the Regional PX team in people work programs and activities.
- Provide operations support to the Region PX team as required, e.g., onboarding new joiners, and updating people system etc.
- Lead and create presentation packs for people work programs, engagement activities, regional and global meetings.
- Collaborate with the Admin team to support the region team with any health & safety related activities to maintain a safe work environment.
- Lead and participate in ad-hoc projects as appropriately assigned by the Regional People Experience Director.
Essential requirements
- 6+ years of HR experiences, especially in C&B, HRIS and employee relations. Experience in HR advisory or business partnering role a plus.
- Prior work experience in fast-paced MNC environment with country & SEA regional offices set up and matrix reporting line.
- Proactive personality with positive influence on our people. Highly organised, meticulous, able to prioritise and multitask with minimal supervision.
- Excellent interpersonal and communication skills with ability to interact effectively with a range of stakeholders across all levels within organisation
- High energy, confident, can-do attitude, committed and dedicated. Hands-on and independent.
- Proficient in Microsoft Office, especially Word, Excel and PowerPoint. Additional skills in Canva, video editing and social media a plus.
- Bachelor’s degree or higher in HR Management, Business Studies/Administration/Management or related field.
Desirable requirements
- Fluency in writing and speaking other South East Asian language will be a plus
- Experience using SuccessFactors including Recruitment and Onboarding and Performance Management modules.
